NHS Bookings Coordinator 

We have an exciting opportunity for a Coordinator join our established NHS Team here at Exeter Hospital.

This is a demanding and fast paced role to manage systems for receiving NHS bookings into the unit – ERS, PAS, email accounts and direct referrals in line with mandated timescales and to assure patients are appointed and managed in line with NHS guidelines.  Good understanding of clinical terminology would be an advantage. The ability to work under pressure to strict deadlines and good knowledge of IT systems is essential. The ideal candidate will have excellent communication skills, professional telephone manner, exemplary customer service skills, extensive administrative experience that allows effective workload management and attention to detail together with the ability to work alone or as part of a team.

The ideal candidate will demonstrate strong organisational skills and will work with a high degree of attention to detail ensuring data accuracy and quality.

Key responsibilities include:

  • Provide high quality, personal secretarial service to the NHS consultants responsible for: hospital bookings, diary management, office management, invoicing and accounting as required
  • Resolve patient queries, whether personal or via the phone or email, in a professional manner; 
  • Typing NHS letters and referrals
  • To ensure that all documentation is of the highest standard and is issued out in a timely manner.
  • Develop excellent working relationships with patients, staff, GP surgeries, Consultants and secretaries.
  • To be responsible for ensuring all bookings are entered onto the patient administration system (PAS) within agreed timescales. 
  • Managing NHS RTT / UNIFY reports and actively monitoring breach using reports and tools available.
  • Tracking and monitoring patients with diagnostic stage in patient pathway to ensure treatment is within breach date.

About Us

Exeter Medical is a state-of-the-art treatment centre in the South West for cosmetic consultations, treatments and laser services. Our number of patients has continually increased since 2007 and we moved to Admiral House located at the Exeter Business Park in April 2014. The move to Admiral House enabled us to expand our NHS skin cancer and hand surgery ‘chose and book’ activity, treating more NHS patients from across the Peninsula, with much reduced waiting times.

Admiral House offers three operating theatres, out-patient consulting rooms, two laser treatment rooms, and a dedicated aesthetic treatments suite.
